New Contact Management

Overview

Contact Management is a new feature with the YakChat application that helps you store and organize your contacts better. It serves as a modern version of a phone book, allowing users to easily access and retrieve contact information. Contact Management includes additional features such as the ability to categorize contacts, set group tags, and add notes.  


Whats New in Contact Management?

Contact attributes
 
We have added and enhanced a few new attributes to your Saved contacts that will help managing your contacts more intuitive and efficient.   
  1. Visibility: contacts visibility can be set to either ‘Just me’ (Private) or to ‘Everyone’ (Public) for contacts within your company.  
    1. Contacts that were previously limited to members of a shared inbox will become public contacts, and the contact’s ‘Shared inbox’ attribute (see below) will be set to the inbox the contact had been shared with.
  2. Permissions: Permissions for contact publicly shared (Visibility=Everyone) can be set as ‘View only’ or ‘View and edit’.
  3. Notes: you can add notes and comments to your contacts
  4. Tags: tags help organize contacts by categories, groups, etc. so it is easier to find, view and message contacts with the same tag. 
    1. Tags replace and enhance previous contact group functionality.
    2. Contacts that were previously added to a Contact group will be added a Group tag with the same name of the contact group.
    3. You can assign one or more tags to the contacts during contact import.  
  5. Shared inbox: you can assign a shared inbox (and only one) to a public contact. E.g. if you only or frequently text certain contacts from a specific shared inbox, then you can easily search for them using the ‘Shared inboxes’ filter.  
    1. This is an optional attribute and only a public contact can be assigned a shared inbox.
    2. Contacts with an assigned shared inbox remains visible to all users of the company, but they can be easily filtered and found using the ‘Shared inboxes’ filter (see section Contact filtering)  

Contact filtering 

It is now easy to search and find your saved contacts using one or more of the following filters:  
  1. Created by me: this filter will list those contacts for which you are the owner  
  2. Shared inboxes: this filter will list those contacts that have been assigned the selected shared inbox(es)
  3. Tags: this filter will list those contacts that have been assigned the selected tag(s) 

Default filters 

When you open the Contacts page, your Saved contacts will be filtered by default as follows.  
  1. Users with a Personal inbox: the ‘Created by me’ filter will be applied by default. 
  2. Users with only one or more Shared inboxes (one or more): the ‘Shared inboxes’ filter will be applied by default, including all shared inboxes that the user is a member of. 
You can remove the default filters and/or apply additional filters at any time. 

 
Contact migration 

With the new release of YakChat your existing Saved contacts will be migrated to the new Contact Manager database and the following rules will be applied: 
  1. Contact groups will be replaced by Tags. Contacts that were previously added to a Contact group will be added a Tag with the same name of the contact group.  
  2. Contacts that were previously shared with an inbox, will become public contacts, i.e. can be seen by Everyone. The contact’s ‘Shared inbox’ attribute will be set to the inbox the contact had been previously shared with. 

New message flow 

When composing a new message, the user can easily add contacts in the ‘To:’ bar searching by name, number, or group tag. If a tag is selected, a message will be sent to all contacts with that group tag.
