Managing Compliance

Overview

The Compliance Main Page provides an overview of all compliances created for the current company, presenting them in a structured table format with detailed views accessible via  a right panel menu. This page is where you can manage your Compliance as listed below: 
  1. Adding a Compliance
  2. Viewing a Compliance
  3. Editing a Compliance 
  4. Deleting a Compliance
  5. Setting Up a Compliance Opt-Out Message

Adding a Compliance

Before you begin you will need the following information:
  1. Keywords: Phrases use to identify different key compliance actions as follow:
    1. Unsubcribe
    2. Re subcribe
    3. Help
  2. Messages: This is what users set as text responses when triggered by detected keywords during interactions
  3. Compliance Name (Required): Provides a field to specify a descriptive name for the compliance setup.
  4. Brand ID (Required): Allows type in Brand ID associated with the compliance
  5. Campaign ID (Required): Enables selection of a Campaign ID to associate the compliance with a specific campaign use case.
  6. Assigned Numbers: Users can choose an available phone number associated with the selected company for compliance-related communications.
  7. Status: The Status dropdown allows users to set the operational status of the compliance.
    1. Active: Indicates that the compliance is currently active and operational for assigned numbers.
    2. Disabled: Indicates that the compliance is not operational and will not respond to assigned numbers.
To add a compliance click on the Compliance tab and select Add Compliance. 





Viewing a Compliance 

The Compliance Main Page provides an overview of all compliances created for the current company, presenting them in a structured table format with detailed views accessible via a right panel menu. 

To view a compliance go to the Compliance tab and select the compliance you would like to view, this will open up a side panel. The compliance can be viewed in full by selecting the Open button. 



The "Export Compliance" option is available on the Compliance Main Page for Super Admins and Partner admins, allowing them to download a CSV file containing comprehensive data about all compliances within the system.




Editing a Compliance 

To make changes to a compliance, select the compliance and click the Edit compliance button in the side panel. 




Deleting a Compliance

To delete a compliance, select the compliance and click the ellipsis in the side panel and then the Delete compliance button. 

           



Setting Up a Compliance Opt-Out Message

New functionality
This feature ensures that a recipient receives an opt-out message the first time they are messaged from a specific number. This helps comply with 10DLC best practices and avoids potential message rejections.


Admin Portal Setup

  1. Log in to the Admin Portal
  1. Navigate to the Compliance section.
  1. Click Edit Compliance for the relevant compliance rule.
  1. Enable the setting:
  1. Look for the checkbox or option labelled:
  1. Add opt-out message when sending a text to a recipient for the first time.”
  1. Enter the opt-out message in the provided text box.
  1. Example: To unsubscribe, reply STOP.
  1. Click Save
Please Note: Once this is enabled and saved, every first message sent from any number associated with this compliance rule will automatically include the opt-out message.


 Testing the Feature

To test if the feature works as expected:

  1. Assign a phone number to the compliance rule where the opt-out message is enabled.
  1. Make sure the number has not previously sent a message to the recipient you're testing with as this only works on first-time messages.
  1. Use the messaging app to send a message from the assigned number to the test recipient.
  1. Check that the opt-out message is automatically appended to the first message.
Please Note:
  • This setting is per-number: the opt-out message only appears the first time a number sends a message to a contact. If a message was already sent from the number to the recipient, the opt-out text will not be appended again.
  • If you're not seeing the opt-out message: Confirm the number is assigned to the correct compliance rule. Ensure it was the first message to the recipient.
